Title
TO AUTHORIZE THE MAYOR TO ENTER INTO CONTRACT WITH INTELLINETICS, INC., FOR DOCUMENT MANAGEMENT SOFTWARE; AND TO DECLARE AN EMERGENCY.
 
Body
WHEREAS, the Clerk of Council worked with area municipalities and vendors to determine the most efficient and effective way to simplify records storage and speed up retrieval of electronic and scanned paper documents for the City; and
 
WHEREAS, three (3) proposals were obtained to identify the most cost effective solution and the lowest proposal was Intellinetics, Inc.; and
WHEREAS, it is imperative to move forward with this Ordinance so that City records can be accessible electronically and we can begin simplifying and saving costs on the current storage of the City's records and produce records in a timely manner to serve the public, and all for the preservation of the public peace, property, health, safety and welfare;
 
NOW, THEREFORE, BE IT ORDAINED BY THE COUNCIL OF THE CITY OF GAHANNA, COUNTY OF FRANKLIN, STATE OF OHIO:
 
Section 1.  That the Mayor is hereby authorized to enter into contract with Intellinetics, Inc., 2190 Dividend Drive, Columbus, OH 43228, for Document Management Software Solution for the City records; Proposals and Contract attached as EXHIBIT A & B, and made a part herein.
 
Section 2.  That funding in the amount of THIRTY EIGHT THOUSAND SEVEN HUNDRED DOLARS ($38,700) was set aside in the 2014 Appropriations in Account No. 101.111.5249 Council, Contract Services, to cover the herein costs.
 
Section 3.    That, for the reasons set forth in the preamble herein above, this Ordinance is declared emergency legislation and shall be in full force and effect immediately after passage by this Council and on date of signature approval by the Mayor.
